Understand the number

What actually moves your monthly figure

A rate card tells you the unit price. It does not tell you your bill. Four things decide which package you are on and what it adds up to, and none of them is a secret.

Seat count

The published figure is a unit price, not an invoice. Ten seats on Secure and forty seats on Secure are the same rate and two very different bills, so counting the seats correctly is the first thing we do on a scoping call, before anyone talks about features.

How much support you actually use

Support is pooled across your seats, not unlimited. Standard carries 25 minutes per seat and Secure carries 30, and helpdesk access and onsite appointments both draw down that same pool. A team that calls every day needs a different pool from a team that calls twice a quarter.

Security posture

This is the whole distance between the three packages. Standard gives you antivirus. Secure adds EDR and MDR, firewall, DNS and software management, identity protection, spam filtering and 24/7 security operation center monitoring. Total adds advanced email security, awareness training and compliance reporting. Your insurer or your regulator often picks this one for you.

How often you want somebody in the building

Onsite appointments come out of the same pooled minutes as the helpdesk, so how often you want a person on site is a real input rather than a free extra. We work onsite anywhere in Upstate New York, and at every location clients with more than one office run. If you want scheduled hours every week, we scope that and put it in writing.

The honest half

What the seat price does not include

Most rate cards stop at the good news. Here is the other half, in plain words, before you spend a call finding it out. Nothing below is a surprise we are hiding, it is a list we would rather you read now than discover in month two.

Not inside the per seat price

  • Hardware. The published inclusion list covers managing and protecting your machines. It does not cover supplying, replacing or warranting them.
  • Parts. Physical parts are quoted per job. Our booking page states this plainly for in-store work as “plus parts as needed”.
  • Third party software beyond what is named. Microsoft 365 management, antivirus, EDR, MDR, ITDR, spam filtering, firewall, DNS and Microsoft 365 backup are named in the packages. Anything else you run is your license.
  • Projects and migrations. A move, a server replacement or a mailbox migration is scoped work, not pooled support. Mailbox migration has its own published rate lower down this page.
  • Unlimited support. Support is a pool. We tell you the size of it before you sign and we tell you when you are near it, rather than quietly running a meter.

Not published anywhere, and why

  • The rate once a support pool is empty. No published source of ours states one, so this page does not either. You get it in writing with your agreement.
  • The support allowance on MSP Business Total. Standard and Secure publish a per seat figure. Total does not, so we scope it with you rather than print a number we cannot source.
  • Onboarding or setup. It depends entirely on how many machines and how much documentation we inherit. We price it on the first call, in writing, before anything starts.
  • Contract length and notice. The term belongs in your agreement where you can read it, not in a headline. We keep terms reasonable and spell everything out before you sign.
  • After hours and weekend rates. Not published, so not stated here. Ask and we will put your out of hours cover in the agreement.
  • Response times as a number. We agree real response targets with you in writing rather than advertise an average nobody can hold us to.

Five exclusions and six numbers we will not guess at on a webpage. You get every one of them in writing before you sign. That is the trade, and it is the reason this page exists instead of a PDF nobody can search.

Is a seat a person or a device?

Our published billing basis is flat monthly, per user or device, which is an either or rather than a definition. An office of twelve people running twenty machines can honestly be counted more than one way, so we are not going to print a rule here that would be wrong for half our clients. We count your environment with you and write the seat definition into your agreement before you sign.

What is the difference between Standard, Secure and Total?

Security posture, almost entirely. Standard at $65 per seat covers Microsoft 365 management, device tracking, patching, pooled support and endpoint antivirus. Secure at $80 adds EDR and MDR, firewall, DNS and software management, identity protection, spam filtering, 24/7 security operation center monitoring and Microsoft 365 backup. Total at $99 adds advanced email security, awareness training, unlimited device backup and compliance reporting support.

  • Standard is for offices that need things to work. Managed, patched, protected, and somebody to call.
  • Secure is where most CNY businesses land. It is the tier that answers the questions a cyber insurance form actually asks.
  • Total is for compliance and evidence. When somebody outside your business needs proof, not just working systems.

Is a monthly plan cheaper than paying by the hour?

It depends on how often you need us, and we are not going to pretend otherwise. Our published business rates are $199 per hour remote and $219 per hour onsite. A plan converts that into one predictable figure and adds monitoring, patching and security that hourly work never covers. If you call twice a year, hourly is honestly fine. Tell us your real volume and we will say which is cheaper for you.

Hourly suits a business that calls us once or twice a year. If you are calling monthly, a plan is usually the cheaper and calmer answer, and we will say so on the phone rather than keep billing you by the hour.

Before you sign, with anyone

Eight things to get in writing from any IT provider

A monthly figure is not a quote until these eight are settled. Ask us, and ask whoever else you are talking to. If a provider will not put an item in writing, that is the answer to the question.

  1. What counts as a seat. Per user, per device, or per user with a device cap. Without this the headline rate cannot be multiplied out.
  2. The size of the support pool and what happens the moment it is empty. Pooled support is finite by design, so the empty case is the real term.
  3. Onboarding. What the takeover costs, how long it takes, and who covers you during it.
  4. Term and notice. The length, the notice period, the auto-renewal date, and any early termination fee. Work backwards from the renewal date.
  5. Response targets in numbers. What counts as a response, what counts as a fix, and the target for each. Fast means nothing until it is defined.
  6. What unlimited excludes. Most unlimited plans carve out projects, hardware, after hours and onsite visits. Get the carve-outs listed.
  7. Who owns the documentation and the admin credentials. Network diagrams, password records and vendor accounts should belong to you.
  8. Proof of a restore, not a screenshot of a backup. Those are different things and only one of them gets you your data back.

Do you charge by the hour if we do not want a monthly plan?

Yes. Our published business rates are $199 per hour for remote desktop assistance and $219 per hour for onsite service. Remote work is billed in 30 minute increments. Onsite work is billed in 30 minute increments after the first hour. In-store support is $189 per hour plus parts as needed.

Is there a setup or onboarding fee?

We do not publish a setup or onboarding fee, and we are not going to invent one on a webpage. What onboarding takes depends on how many machines we inherit, how much documentation exists, and what has to be migrated. We scope it on the first call and put the figure, or the absence of one, in writing before you sign anything.

Are we locked into a long contract?

We keep terms reasonable and spell everything out before you sign. The goal is to earn the renewal by doing good work, not to trap you. We will walk you through the agreement line by line. We do not publish a fixed term on this page because the term belongs in your agreement, where you can read it.

Where do the prices on this page come from?
